SWE Board Responsibilities
All SWE Members are required to attend a Leadership Retreat, and are encouraged to participate as much as possible in SWE events.
President:
- The President must have served at least one year Somewhere else on the SWE Board prior to running for this office
- President will develop meeting agenda; forward the agenda to Secretary and Webmaster for distributions.
- President will revise all mass emails sent to Board and or General Body Meeting.
- Inform SWE members of SWE National programs, conferences and other events.
- Complete and submit annual SWE report in the Spring to submit in the summer. Provide a copy to SWE Advisor.
- Meet twice a month with SWE Advisor.
Vise President:
- In the absence of the President, the Vice President shall assume the role of the President and all responsibilities.
- Coordinate the membership drives (set up date/time/location -Atrium Gunness/Solicit volunteers/Type signs to post up/)
- Explain the membership process
- Sends emails to all SWE/WEP students
Treasurer
- The Treasurer shall have charge of all monies and books of accounts
- Submit monthly reports to E-Board
- Make sure we have t-shirt money and T-shirts in stock
- Keep track of Pizza sales money, conference/program expenses etc
- Pick up and review all monthly statements from the Center for Student Development
- Meet with your Student Development Advisor
- Plan and submit Register Student Organization Budget request for funding from the SGA Ways and Means Committee every Spring
- Work with President on Annual SWE Report
- Meet with SWE Advisor once a month or when necessary
Secretary
- The Secretary shall keep the minutes of the meetings and keep a written record of all proceedings of every meeting
- The Secretary shall foreward a copy of the minutes of the meetings to the webmaster for posting on the SWE Website
- Responsible for all correspondence between members
- Keep roll of the members
- Circulate meeting notices and agenda's provide at meetings
- In her absence, the Secretary will arrange for another member of the residing board to assume responsibility
Events Coordinators:
- There will be two (2) Events Coordinators on the SWE Board
- The two (2) Events Coordinators will equally share the responsibilities
- All communications from other Board members get sent to communications
- Responsible for internal and external communications of programs/events/etc
- Coordinate SWE events (What, Where, When) with the SWE board
- Solicit Volunteers
- Order supplies for activities
- Purchase food items and other supplies
- Contact Program Directors (E.G. Girl Scout Day Coordinater)
- Type an agenda/put together packets, evaluation forms for events
- Order pizza
- Set up dates to sell pizza
- Solicit volunteers to pick up the pizza and set up the tables
- Create a schedule to sell pizza
- Pick up Cash Box from Marston 128-Regina's Office
- Sell t-shirts for $10.00 along with pizza
- Sell t-shirts at WEP Career Day and other events when possible
Historain:
- The historian will be responcible for archiving the following:
- Meeting Notes/Agendas
- Document SWE events
- Backup of SWE's Website from the Webmaster once per semester
- Submit Documentation of SWE events to SWE National
Conference Coordinator:
- Coordinate Regional and National Conference travel arrangements with SWE Advisor
(Hotel, registration, budget, sign up sheets, etc.)
Freshman Outreach:
- Organize and execute the freshmen outreach Programs and efforts
- Help to establish a sence of comunity among Women Engineers
- Organize mentoring events with freshmen and RAP/TAP/EnginOptions groups
Webmaster:
- Maintains and updates the Website
- Responcible for taking Photos at SWE events and archiving them
- Helps the Society with their technological needs and issues
